Position Summary:

The Supply Chain Assistant supports day-to-day procurement and coordination activities that enable efficient operations across multiple functions. Based in Qiandao or Shanghai, this role assists with purchase order management, shipment tracking, and administrative coordination to ensure materials, equipment, and services are delivered on time. The position works closely with Supply Chain, R&D, Lab Operations, and Facilities teams to maintain smooth operational support and accurate purchasing records.

Duties include (but are not limited to):

  • Create and process purchase orders for production materials such as connectors, cables, and related components.
  • Track purchase orders and supplier deliveries, following up on delays to support timely material availability.
  • Assist with Advanced Shipping Notice (ASN) processing and support backlog reviews to maintain accurate order visibility.
  • Coordinate procurement and shipment of samples to support R&D activities in Shanghai and Qiandao.
  • Place purchase orders for laboratory equipment, components, and supplies required for lab operations.
  • Provide administrative purchasing support for facility needs, including office supplies, laptops, internet services, cleaning services, and software licenses.
  • Maintain accurate purchasing records in internal systems and ensure supporting documentation is complete.
  • Communicate with internal stakeholders and vendors to clarify requirements, confirm delivery schedules, and resolve order issues.
  • Support continuous improvement of purchasing processes and documentation practices.

 

Position requirements:

  • Diploma or bachelor’s degree in Supply Chain, Business Administration, or a related field, or equivalent experience.
  • 1–3 years of experience in purchasing, administrative coordination, or supply chain support.
  • Experience creating and tracking purchase orders and coordinating with vendors.
  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.
  • Strong organizational and time management skills with the ability to manage multiple tasks.
  • Clear written and verbal communication skills.
  • Ability to work collaboratively with cross-functional teams.
  • Experience supporting engineering, laboratory, or technical teams.
  • Familiarity with ERP or purchasing systems.
  • Exposure to supply chain, logistics, or inventory processes.
  • Experience coordinating activities across multiple locations.
